The University of the West Indies provides many services, to both students and staff, each requiring specific procedures for authentication. Authentication is the process of identifying yourself to the computer and is usually done by providing a username and a password. The system then determines if you should have access to that particular system.
Staff and Students are provisioned with accounts (login and password) upon their engagement with the University. This allows for basic access to campus workstations and email systems. Based on further requirements, individuals are given access to other services such as Dialup, Registration (OSRS), Peoplesoft, Banner Finance, OURVLE, Library Pharos systems, Intranet applications etc.
Desktop Login
Staff accounts are created at the beginning of their contract and are automatically generated. Your username or login name is the University staff ID number assigned by the Human Resource department. For desktop access, staff members log into the UWI_MONA domain.
Student accounts are created at the beginning of their study and are also automatically generated. Please note that these accounts do not get created until the student is fully matriculated by their faculty. This means that you need to have financial clearance and Dean's approval. Your username or login name is the University student ID number assigned by the Registry department. For desktop access, students log into the STUDENTS domain.
Initially, passwords are set to the individual's date of birth in the form YYYYMMDD . Users are forced by the system to change this password before they can continue. Passwords are required to be at least 8 characters long. Please choose passwords that are difficult for others to “guess” while at the same time remain easily remembered by you. Also, as a security precaution, passwords are required to be changed every 42 days to prevent compromise of your accounts. The system remembers the last 3 passwords used and prevents you from using one of these as the new password.
In the event that passwords are forgotten, you may call the helpdesk and request a password change. A helpdesk attendant will then will reset the password to your date of birth. Please change this at the earliest convenience as failure to do so can allow individuals to use your date of birth to gain access to any system you have been authorized to use.
Accounts MUST be treated with the strictest of confidence as they represent your individual identity on the network and within applications. Remember, anyone who has your password can access any information you have access to. If you suspect that someone may be using your account please change your password immediately. Since our applications and network systems record accesses based on your account, you will be held responsible for these accesses.
Web Application Login
Access to most applications is achieved using the UWI_MONA or STUDENTS user account.
eg. For access to PeopleSoft, staff members use their ID# and password associated with their UWI_MONA account.
eg. For access to OURVLE, staff members use the ID# and password associated with their UWI_MONA account. Students use the ID# and password associated with their STUDNETS account.
Please review the documents associated with each individual application regarding specific login procedures.
